Position Profile

Administrative Support Specialist | The Foraker Group | Anchorage, Alaska |On-campus

The Position & Opportunity

The Foraker Group seeks a detail-oriented and proactive part-time administrative support professional to assist with both financial and operational tasks across our organization. This role plays a key part in ensuring smooth financial processes by allocating payments, preparing deposits, assisting clients with online payment systems, managing unpaid invoices, and supporting contract renewals and cost estimates. Operationally, the position provides cross-functional support to multiple departments, including phone and communication coverage, applicant tracking, and database updates. The ideal candidate is organized, tech-savvy, and comfortable managing a variety of tasks in a collaborative environment. This is a part-time position (15-20 hours per week) ideal for someone looking to contribute to a mission-driven team.

Key Responsibilities

Financial Support 

  • Allocate check payments, prepare and make deposits, and file and submit check requests in a timely manner. 
  • Help clients navigate Foraker’s online payment form.  
  • Monitor outstanding invoices and communicate with clients regarding payment questions and past-due balances. 
  • Support the Chief Financial Officer and Director of Finance in yearly contract renewal for Financial Shared Services clients. 
  • Support the creation of cost estimates for new Financial Shared Services clients. 
  • Reconcile monthly credit card statements on time and with accuracy. 

Operations Support 

  • Assist with special projects that streamline our communication and organize our files and databases 
  • Assist and provide support to the Education and Operations Coordinator – covering the phones and other communications as needed. 
  • Assist and provide support to the Leadership Transition Coordinator- managing applicant tracking database and communicating to candidates as needed to ensure seamless workflow and coverage. 
  • Assist and provide support to the Operations Manager with data compilation and database management 
  • Track Partner renewals and communicate with the leadership team about Partners that have not renewed 
  • Assist with updating client contacts across departments and databases (including our billing system, Partner database, Mailchimp) 
  • Collaborate with the Operations Manager to maintain subscriptions and accounts; assist with subscription renewals and cancellations. 
  • Assist Operations Manager with inventory and maintenance of office equipment and vendor communications 
  • Assist in maintaining websites including the Foraker Board of Directors portal and Alaska Board Match 
  • Engage Alaska Board Match candidates and organizations and assist with communication outreach to further participation 
  • Provide on-site support and logistics for board meetings and educational events as needed 
  • Maintain the Alaska Funders Directory, ensuring links are viable and profiles are accurate 
  • Support Shared Human Resources tasks as needed

  • Proficiency with MS Word, Excel, Outlook, and other relevant software
  • Previous office work experience preferred

Compensation

The salary range is $21- $24 per hour commensurate with qualifications and experience. This is a part-time position (15-20 hours per week) that requires a consistent schedule. In consultation with the supervisor, the employee will establish a fixed weekly schedule, including set days and hours.

Services and Programs

Foraker offers a combination of these services to meet the needs of our nonprofit partners:

Shared Services: We provide consolidated back-of-house services for nonprofits to maximize resources, ensure accountability, and clear the way to focus on mission results. For example, our financial shared service allows organizations to outsource their financial and accounting functions to professionals who understand the specific needs of nonprofits.

Consulting: Our role as capacity builders is to provide customized consultation and facilitation that strengthens nonprofits. Popular topic areas include board governance, fundraising, human resources, succession planning, and leadership transition, strategic and annual planning, finance, marketing and communication, and collaboration and mergers.

Education: We provide in-person and online opportunities for board, staff, and volunteers to learn, share, and connect. We offer a range of training, from two-hour classes to six-month-long intensives.

Public Policy: Foraker serves as the official nonprofit state association of Alaska. In this role, we focus on nonpartisan public policy issues at the federal, state, and local levels that impact all nonprofits.

Fiscal Sponsorship: Foraker’s fiscal sponsorship, Sultana New Ventures LLC (Sultana), supports groups and projects in the preliminary stages of their development, offering opportunities to incubate ideas, employ staff, and provide the stability that funders need to make initial investments.
