Deputy Finance Director

WASI is a fun, dynamic 501(c)3 non-profit organization changing as needed to best meet the needs of the seniors we serve offering Senior Housing, Nutrition services, Meals on Wheels, In-Home Services, Adult Day Service, and Healthy Aging activities.
What You’ll do:
The Deputy Finance Director supports the Finance Director in planning, organizing, and coordinating the organization’s financial operations within a complex financial system. The role ensures compliance with Generally Accepted Accounting Principles (GAAP) and applicable government and funder requirements and restrictions. The Deputy Finance Director may act on behalf of the Finance Director in their absence. This position is designed to provide progressively greater responsibility within the Finance Department.
- Assist the Finance Director in managing, coordinating, and setting the strategic direction of the Finance and Accounting Department. Help develop and implement financial procedures that improve efficiency and reduce costs.
- In collaboration with the Finance Director, analyze financial operations and recommend changes to policies and programs to executive staff, the Finance Committee, other committees, and the WASI Board of Directors.
- Maintain and strengthen internal controls to safeguard assets, ensure accuracy of financial records, and promote compliance with applicable laws, regulations, policies, and accounting standards.
- Assist with development, monitoring, and administration of operating budgets, capital budgets, long-range financial plans, and cost analyses.
- Prepare clear, accurate, timely reports and recommendations of budget and financial information for Executive staff, Finance and other Committees; the WASI Board of Directors, funders and Program Managers.
- Foster a culture of collaboration, transparency, and continuous improvement across financial functions.
- Works with the HR/Payroll Specialist acting as back-up in preparing bi-weekly payroll; reviews bi-weekly payroll for accuracy prior to disbursement, ensuring accuracy and compliance with applicable State and Federal employment and payroll laws and regulations and maintains knowledge of applicable legal requirements.
- Works with Finance Director on preparing annual workers compensation audits, 403b census and plan testing, and Form SF5500 submissions.
- Assists the Accounting team and monitors cash receipts, accounts receivable, cash management.
- Assists the Accounting team and monitors accounts payables and cash disbursements and reviews or prepares weekly accounts payable for accuracy prior to disbursement.
- Assists the Finance Director with bank account management and monthly account reconciliations.
- Maintains Fixed Asset schedule tracker and assists with record retention management.
- Assist the Finance Director with supervision, training, evaluation, and support of accounting staff; provide coaching, guidance, and performance feedback.
- Assists the Finance Director with general ledger analysis and preparation of month and year-end closing entries and ensure timely reconciliation of accounts, funds, and financial records.
- Works closely with the Finance Director: coordinate the annual external audits; funder audits; taxes; and support preparation of required schedules, reports, disclosures, and related financial documents.
- Provide financial guidance and technical support to executive staff, department managers, staff, auditors, vendors, governing bodies, and members of the public as appropriate.
- Serve as Acting Finance Director CFO when assigned or in the CFO’s absence.

MINIMUM SKILLS/QUALIFICATIONS
- Bachelor’s Degree or equivalent experience in accounting, finance, business administration, or related field required.
- Five years of progressively responsible experience in accounting, budgeting, financial management, auditing, or a related finance function.
- Two years of supervisory, lead, or project management experience.
- Experience with governmental, nonprofit, or public-sector finance is preferred.
- Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities may be considered.
- Minimum three years’ experience with QuickBooks.
- General knowledge of accounting procedures and understanding of GAAP required.
- Experience working with auditors and leading financial statement preparation and audit processes. Knowledge of GASB and A-133 a plus.
- Understanding of grants management, Federal (OMB), the Uniform Guidance of federal awards, and non-profit experience a plus.
- Proficiency in general office programs including Microsoft Word and Outlook, High proficiency with Microsoft Excel, Adobe, and other agency software tools.
- Must pass background and drug (including cannabis) checks.

Physical Demands: While performing the responsibilities of the Deputy Finance Director, the employee is required to talk and hear. The employee is often required to sit for long periods of time and occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, or crouch.
Work Environment: While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and vehicles. The noise level in the work environment is usually moderately quiet.
